Privacy at PropertyManagementOS
PropertyManagementOS holds operating records for property businesses: properties, tenancies, payments, maintenance and documents. This page explains what is collected, how it is used and who can see it.
Information we collect
- Account information for owners, managers and staff, including name, work email, phone number and role.
- Property and tenancy records entered by the client, including properties, units, leases, tenants, storage agreements and maintenance activity.
- Payment records such as amount, date, method type, status and fee breakdown. Raw card and bank credentials are collected and stored by our payment processor, not by PropertyManagementOS.
- Usage and diagnostic data such as log events, access records and error reports needed to operate and secure the platform.
How we use information
- To provide the platform: rent collection, leasing, maintenance, documents, storage operations, reporting and portals.
- To process payments and produce the associated records, receipts and settlement information.
- To secure the service, investigate abuse, meet legal obligations and maintain auditable operating records.
- To support clients and improve the product.
Payment data
- Card and bank details are transmitted directly to a licensed, PCI-compliant payment processor. PropertyManagementOS never stores raw card numbers.
- PropertyManagementOS retains the payment record — amount, method type, status, fees and settlement outcome — because it forms part of the tenancy's financial history.
Sharing
- With the property owner or manager responsible for the tenancy, as required to operate the property.
- With service providers acting on our behalf, including payment processing, identity, communications and hosting providers.
- When required by law, legal process, or to protect rights, safety and the integrity of the service.
- PropertyManagementOS does not sell personal information.
Retention
- Records are retained for as long as the account is active and afterwards as needed for legal, tax, accounting and dispute-resolution obligations.
- Financial and lease records are typically retained longer than operational data because of statutory record-keeping requirements.
Security
- Access to client data is restricted by role and account, with authentication required for every operational interface.
- Data is encrypted in transit, and sensitive stored material is protected with encryption at rest.
- No system is perfectly secure; suspected incidents should be reported immediately using the contact details below.
Your choices
- Tenants should contact their property owner or manager for corrections to lease, payment and tenancy records, since that party controls the record.
- Owners and managers can contact PropertyManagementOS to access, correct, export or delete account data, subject to legal retention obligations.
